1. Who we are
DWC HUB is an internal workforce operations platform operated by DWC Property Care Ltd, company number 12562962, of 16 Titan Court, Laporte Way, Luton, Bedfordshire, LU4 8EF. The platform supports authorised users working across DWC Property Care and D W Cleaners operations.
2. Information we process
- account details such as name, work contact information, username, role, team and company;
- job, visit and worksheet information, including addresses, notes, statuses and time spent;
- photos, documents, work reports and other evidence uploaded by authorised users;
- location information when enabled for routing, attendance or team safety purposes;
- messages, news posts, comments and support communications;
- customer, debt, invoice and payment-status information where a user is authorised to access it;
- device, session and security information required to operate and protect the service.
3. Why we use it
We use personal information to schedule and evidence work, communicate with teams, support customers, plan routes, manage operational and financial records, provide user support, maintain security and comply with legal obligations.
4. Our lawful bases
Depending on the activity, processing is based on performance of a contract, legal obligations, our legitimate interests in running and protecting the business, or consent where the law requires it. Location access can be controlled through device permissions, although some field features may not work without it.
5. Sharing and service providers
Information is shared only with authorised DWC users and approved service providers needed to operate the platform, such as cloud hosting, database, mapping, email and messaging providers. Access is limited by company, team and role where appropriate. We do not sell personal information.
6. Retention
We retain information for as long as it is needed for operational, employment, contractual, tax, insurance, safety and legal purposes. Different records have different retention periods. Accounts are disabled when access is no longer required, while records that must form part of the company history may be retained.
7. Security
We use access controls, individual accounts, role permissions and appropriate technical and organisational safeguards. Users must protect their login details and report suspected unauthorised access promptly.
8. Your rights
Under UK data protection law, you may have rights to access, correct, erase or restrict your personal information, receive certain information in a portable form, or object to particular processing. These rights can depend on the circumstances and legal retention requirements.
